Onboarding Agent

Onboarding Agent that automates customer service workflows using your data and tools.

The challenge

New users sign up, look at an empty screen and never come back. Onboarding is the same fixed tour for everyone regardless of why they signed up, nobody notices when someone stalls halfway through setup, and the team only learns about the drop-off weeks later in a churn report.

The outcome

A Microsoft Foundry agent walks each user through the steps that matter for them, and Azure Functions track completion so the guidance adapts to what they have actually done. Stalled users get a nudge through Azure Communication Services, and the exact step where people give up shows up in Power BI.

01 — Architecture

End-to-end architecture

Product events flow into Azure Functions, which keep a live picture of what each user has completed. The Foundry agent chooses the next step from that state rather than a fixed script, grounds its explanation in the published help content, and hands high-value or stuck accounts to a named success manager.

02 — Workflow

Process & decision workflow

How a signup becomes an activated user — welcome, guide, track, adapt and nudge, then branch. Users making progress are guided in product without interruption, while a stall or a high-value account passes to a success manager with the blocker already identified.

04 — AI

What the agent consumes

The capabilities the agent applies to every new user, and the line it does not cross.

AI capabilities embedded in the agent

  • Signup intent detection
  • Behavioural event tracking
  • Progress scoring
  • Adaptive path selection
  • Retrieval-augmented generation
  • Contextual explanation
  • Multilingual guidance
  • Drop-off prediction
  • Nudge timing
  • Segment analysis
  • Activation analytics
  • Escalation routing

AI responsibility boundaries

The agent guides and nudges; it does not badger. Frequency caps, quiet hours and opt-out choices are honoured on every channel, and a user can dismiss guidance for good. It answers only from published help content and never promises a feature that does not exist yet. Stuck or high-value accounts pass to a named success manager rather than another automated reminder.

05 — Personalization

Personalization & evolving process

The same methodology applies to every agent in the catalog. Tune the product, the onboarding template, the guidance rules and the value model — the page structure stays identical.

Product & segment profile

Define the plans, personas, signup intents, activation milestones and languages in scope. The personas are the new user, the account administrator, the customer success manager and the product manager.

06 — Impact

Key outcomes & business impact

Starting targets for the value case — validate each one against the customer baseline during discovery.

  • Activation rate+20%More users reach first value instead of stalling at setup.
  • Time to valueDaysGuidance adapts to the user instead of running a fixed tour.
  • Early support load−30%Setup questions answered in product, in context.
  • Drop-off visibilityPer stepThe exact step people abandon is measured, not guessed.
